Privacy Policy
Last updated October 19, 2026
We keep what it takes to run your studio in BobbinBill: your account, and the customer and quilt records you put in, which we handle on your behalf. A short list of service providers helps us run it. We never sell data, show ads or use advertising trackers.
You can export everything anytime, and ask us to delete your studio from Settings, Danger zone.
1. Who we are
BobbinBill is provided by GP Computer Consulting, Midlothian, Virginia (“we”, “us”). This policy explains what we collect through BobbinBill and bobbinbill.com and what we do with it. Write to hello@bobbinbill.com with any question.
2. What we collect
Your studio account. Your name, studio name, email, phone and address; your settings, prices and Library; your sign-in details (through Clerk); your plan and billing status (through Stripe, without your card number); notes you send us through Send feedback or the contact form; and a history of changes made in your studio, such as status moves and payments recorded, so you can see who did what.
Your customers' information, which we process for you. The customer and quilt records you put in: names, contact details and addresses, tags, birthday month and how they found you, quilts, measurements, photos and notes, estimates, invoices and payments, messages between you and your customers on their portal pages, and a log of the emails BobbinBill sent them. You decide what goes in; we keep and use it only to provide BobbinBill to you.
Visitors to bobbinbill.com. What you type into the contact form or beta sign-up: your name, email and message. To stop abuse, those forms briefly count sends by internet address in the server's memory; the address isn't stored. Our host keeps standard server logs.
Technical details. When something breaks, an error report records the page, browser and what went wrong.
3. How we use it
- To run BobbinBill: show your studio to you, show your customers their portal pages, and send the emails you ask it to send.
- To bill your plan and tell you about your account.
- To answer you when you write to us, and to tell you about important changes.
- To keep the service secure, prevent abuse and fix problems.
We don't sell personal information, share it for advertising, or use your customers' details to contact them for our own purposes. We look at a studio's records only when you ask us to help, when we need to fix a problem, or when the law requires it.
4. Who helps us run BobbinBill
These service providers handle data for us, only to do their part of running BobbinBill:
- Vercel. Hosts the BobbinBill app and website.
- Neon. Hosts the database where studio records are kept, with its backups.
- Clerk. Handles sign-in for studio owners: your email, password or sign-in method, and session.
- Stripe. Takes subscription payments for BobbinBill, and card payments from your customers into your own Stripe account. Card numbers go to Stripe, never to us.
- Resend. Delivers the emails BobbinBill sends: estimates, receipts, statements, portal links and our replies.
- UploadThing. Stores the photos you add, such as quilt photos and receipts.
- Sentry. Records errors in the app so we can fix them. Reports are set up to leave out personal details and portal links.
They are based in the United States, and data is stored in the United States. When a customer pays you by card, Stripe's own privacy policy also applies to that payment. Venmo and Cash App payments happen in those apps, under their policies; BobbinBill only builds the link. We may disclose information if the law requires it, and if BobbinBill is ever sold or merged, this policy will continue to protect the data.
5. Cookies
BobbinBill uses only the cookies it needs to work: sign-in cookies (set by Clerk) that keep studio owners signed in, and cookies Stripe sets on payment pages to prevent fraud. There are no advertising or tracking cookies. Your customers' portal pages work from their private link and don't need an account.
6. How long we keep it
- Your studio's records: for as long as your studio exists, including while it's read-only after a trial or a missed payment.
- After a deletion you've confirmed: removed from the live database within 30 days. Copies in backups expire on the database host's backup schedule.
- Billing records: as long as tax and accounting law requires.
- Contact form and beta emails: as long as we need them to answer and follow up.
- Error reports: for the error monitoring service's retention period, then deleted.
7. Exporting and deleting
Studios. Settings, Your data downloads all your records as CSV files, anytime. To delete your studio, export first, then use Settings, Danger zone, Request studio deletion. We confirm by email before anything is removed, and a deleted studio can't be brought back.
Your customers. If you're a quilting customer and want to see, correct or remove your details, please ask the studio you work with; they control their records. If you write to us instead, we'll pass your request to the studio.
You can also ask us what we hold about you, to correct it or to delete it, at hello@bobbinbill.com. We'll answer within 30 days.
8. Keeping it safe
Connections are encrypted, each studio's records are kept apart in the database itself, card details stay with Stripe, and portal links can be reset if one is shared by mistake. No system is perfectly secure; if something ever goes wrong that affects your data, we'll tell you promptly.
9. Children
BobbinBill is for businesses and isn't meant for anyone under 18. We don't knowingly collect information from children.
10. Changes
If we change this policy in a way that matters, we'll email studio owners before it takes effect and update the date at the top. The Terms of Service cover the rest of our agreement.
